Destination Wedding Guest Information: Philippines Travel Sheet
Saturday, August 29, 2026
Quick answer
Send a travel sheet 10 to 12 weeks before a destination wedding, or about three months if guests must arrange travel, after a save the date 8 to 12 months out. Cover the airport, transfers, hotel, arrival day, attire and RSVP date. Put fixed facts on the invitation page and keep fares and booking links in your message.
A destination wedding asks guests for leave, a flight and a hotel, each with its own deadline. This page gives you the order to release information in, a travel sheet to copy, and which details fit on an Imbitasyon Ko invitation page and which belong in your message.

Send it in the order guests decide
Guests do not need everything at once. They need each piece before the decision it feeds. The order is our advice.
| Guest's decision | What they need from you | Why it comes then |
|---|---|---|
| Whether to come at all | Destination, date, rough total cost | Their leave and budget |
| Which flight to book | Nearest airport, onward transfer, arrival day | Cebu Pacific advises booking group flights early, for fare and seat availability |
| Where to sleep | Hotel options, your room block and its cut-off | Our advice: a block only helps if guests know before it is released |
| What to pack and wear | Attire, weather, planned activities | Our advice: before they pack, not after |
| Yes or no, on the record | RSVP link and deadline | Your caterer and boat counts |
A guest who gets the hotel list after the block has closed has been told nothing useful.
When to send each piece
Published timing comes from a stationer (Bliss & Bone) and a Philippine wedding blog (Brideandbreakfast.ph), not an authority, so treat it as a range.
| Step | When | Source |
|---|---|---|
| Save the date | 8 to 12 months before | Bliss & Bone |
| Invitation with the travel sheet | 10 to 12 weeks before | Bliss & Bone |
| Invitation when guests need time for travel and accommodation | About three months before | Brideandbreakfast.ph |
| RSVP deadline | 5 to 6 weeks before | Bliss & Bone |
| Room block cut-off | Whatever your hotel contract says | Our advice: ask in writing |
Bliss & Bone gives the reason for the earlier RSVP: venue contracts and accommodation block releases "often have earlier cutoffs than local vendors." If the sheet is not ready, send a rough cost estimate first so guests can start clearing leave. Our timing guide has the full calendar.
A travel sheet you can copy

Send it as text in the same chat thread as the link, so nothing depends on opening an attachment on mobile data. Bliss & Bone suggests a travel card with the nearest airport and hotel block details for a printed suite; the message does that job here. Our guide to sharing a digital invitation covers the sending order.
A multi-day itinerary
Guests plan leave around days, so give each one a line. Copy this table and fill it in:
| Day | Time | What guests need |
|---|---|---|
| Arrival day | [Time window] | Meeting point, transfer times, check-in, dinner plan |
| Wedding day | [Ceremony time] | Seated-by time, attire, transfer departure times, contact number |
| Wedding day | [Reception time] | Venue, program end, return transfer times |
| Day after | [Brunch or free time] | Optional events, check-out time, airport transfer |
On Imbitasyon Ko each day can be its own event with its own date, time, venue, session line, dress code and map button. Use + Wedding Ceremony and + Reception, and + Other Event for the welcome dinner or farewell brunch. The RSVP form takes one answer for the whole invitation, not one per event, so ask about optional events in your message.
Our advice: say whether plus-ones and children are invited, tell guests to bring some cash because ATMs and mobile signal may be limited on an island (ask your venue), and say who to call in a delay.
What fits on the invitation page
An invitation page is not a travel website. On Imbitasyon Ko each event has fixed fields, and here is what the published page does with each.
| Travel detail | Field | Limit | How it appears |
|---|---|---|---|
| Venue name | Venue name | 160 characters | Bold line on the event card |
| Full address | Address | 400 characters | Small text under the venue |
| Directions | Google Maps link | One link per event | View Location button |
| Call time or boat time | Session (optional) | 80 characters | One small line under the time |
| Attire for one event | Dress code (optional) | 120 characters | Dress Code line on that card |
| Attire for the whole wedding | Dress code note | 300 characters, up to 6 colour swatches | Its own section |
| A stream for guests who cannot fly | Live Streaming Link | One link, Premium plan | Watch Live button |
| Everything else | Closing message | 600 characters | Plain text; links are not clickable |
Three consequences follow:
- The only link you can give an event card is the map link, so a hotel booking page or a fare page has nowhere to live on the invitation.
- Each card has Google Calendar and Apple / Outlook Calendar buttons. The entry's location is the venue name and address joined into one line, and the start time is sent in UTC, so it shows in the guest's own time zone.
- If you leave the map link empty, View Location searches Google Maps for the venue name and address. Our guide to adding a map covers pins for a gate or jetty.
A second event entry can carry a second pin, for the hotel lobby or the port. Add it as Other Event. A title, a date, a start time and a venue name are required, so the card will show a time, and it appears in the event list beside the ceremony. Label it clearly, for example "Boat transfer, Caticlan Jetty Port".
Boracay, Palawan and Tagaytay: what to confirm
Boracay's is the only official traveller page we could confirm that lists the route and its times. For the others, get the numbers from your venue, not from a blog. Our beach wedding guide compares airports and onward legs.
| Destination | What to confirm before it goes in your sheet | Where to confirm |
|---|---|---|
| Boracay | Route and times in the table below | Boracay iPass, read on 30 September 2026 |
| Palawan | Which airport, and the door-to-door transfer by van or boat, including the last leg to an island venue | Your venue's own transfer schedule |
| Tagaytay | Drive time from Manila on your wedding day of the week, and whether a shuttle is provided | Your venue, plus a test drive at the same hour |
The iPass site lists these legs:
| Leg | Time it lists |
|---|---|
| Caticlan Airport to Caticlan Seaport | 5 to 10 minutes |
| Kalibo International Airport to Caticlan Seaport | 1.20 to 1.30 hours, depending on traffic |
| Caticlan to Cagban by public ferry | 10 to 15 minutes |
| Caticlan to Cagban by speedboat | 3 to 5 minutes |
| Cagban Seaport to your hotel | 5 to 10 minutes |
The site says tourists register online, pay the port terminal fee, the environmental fee and the boat fare, and present a personal QR code at the port. It states that "Refunds are not available, but bookings are transferable as long as the QR Code has not been scanned." Our advice: tell guests to keep the QR code until they travel. It also says the terminal fee may be adjusted if a typhoon moves the port. Fee amounts change, so read them on the iPass site, not in your sheet.
Group flights and room blocks
A group fare needs enough seats. Cebu Pacific's help centre says "For domestic flights, a minimum of 20 passengers is required" and "For international flights, a minimum of 10 passengers is required." You can ask for a quote before every name is final, and it recommends booking "as far in advance as possible." Its own limit matters for a wedding: "CEB Flexi does not apply to group bookings, therefore guests cannot voluntarily cancel the booking and store it in a Travel Fund." It adds that "The group booking can still be rebooked if needed, subject to applicable fees." Our advice is to ask for firm commitments before you book seats for others. Philippine Airlines has its own group booking page, so check its terms before you promise anyone a fare.
For hotels, ask in writing how many rooms are held, the date the block is released, and the cancellation rule, then put the release date in your sheet as the cut-off. We do not quote a discount, because it depends on the property and season.
Add a buffer day, and plan for weather
Island flights and boat trips can slip. Our advice is to build a full day between arrival and the wedding, and to name the arrival day you expect, or some guests will book a same-day flight. For a wet-season date, see our rainy season backup plan.
Guests flying in from outside the country
Visa rules and arrival registration change without notice, so do not summarise them. Send guests to the Bureau of Immigration for entry requirements and to eTravel for arrival registration. The eTravel site states "eTravel is FREE," which is worth repeating to anyone who finds a site charging for it. Guests abroad plan around leave, so our guide to guests abroad covers timing and their local time, and the livestream guide covers relatives who cannot fly.
Expect the list to shrink, and set the RSVP date earlier
A destination cuts your guest list, since not everyone can commit to a flight and a hotel. Set the RSVP date earlier than for a local wedding, using the 5 to 6 weeks above. The Imbitasyon Ko form offers yes, no and undecided, and undecided shows as Maybe on your Replies tab, so a guest still checking flights stays in your count. If you are also cutting names, our guest list guide has the arithmetic.
Put venue, address, map, call time and attire on the invitation page, where they cannot be lost, and keep fares and booking links in the message thread, where you can update them. The page holds the facts that will not change. The chat holds the ones that will.
Frequently asked questions
What should you tell guests about a destination wedding?
Tell them the destination, date and rough cost first, then the nearest airport, the onward transfer, where to sleep and your room block cut-off, what to wear, and the RSVP date. Our advice is to send each piece before the decision it feeds, and to name the arrival day you expect.
How far in advance should destination wedding invitations be sent?
Bliss & Bone says 10 to 12 weeks before the wedding, and Brideandbreakfast.ph says about three months when guests need time to arrange travel and accommodation. Our advice is to send relatives and guests who must fly a save the date 8 to 12 months ahead.
When should the RSVP deadline be for a destination wedding?
Bliss & Bone says 5 to 6 weeks before the date, because venue contracts and accommodation block releases often have earlier cutoffs than local vendors. Check your own room block and boat or venue deadlines, and set the RSVP date before them.
What travel details fit on a digital wedding invitation?
On Imbitasyon Ko each event holds a venue name, an address, one map link, a session line and a dress code line. Fares and booking links do not fit, so send them in the message with your link. The closing message is plain text, so links in it are not clickable.
How do group flights work for wedding guests?
Cebu Pacific's help centre says a group booking needs a minimum of 20 passengers on domestic flights and 10 on international ones, and you can ask for a quote before you have every name. It also says group bookings cannot be cancelled into a Travel Fund, so ask guests to commit first.
How do guests get to Boracay for a wedding?
The Boracay iPass site says to arrive at Caticlan Airport or Kalibo International Airport, go to Caticlan Seaport, then take a ferry or speedboat to Cagban Seaport. Guests register on the iPass and present its QR code at the port. The iPass site lists Kalibo to the seaport at 1.20 to 1.30 hours.
Do guests from abroad need to register before arriving in the Philippines?
Point them to the Bureau of Immigration for entry requirements and to eTravel for arrival registration. eTravel's own site says it is free. Do not summarise visa rules in your sheet, because they change.
